Job Details:

We’re seeking a highly organized, detail-oriented Administrative Assistant to support our day-to-day operations and help streamline the backend of our business. This role will wear many hats—from calendar coordination and communications with clients and contractors. Ideal candidates will be proactive, tech-savvy, and excited about supporting a creative small business on the move.

Responsibilities:

  • Maintain internal calendars (project timelines, deliveries, van bookings, freelance shifts)
  • Draft quotes, invoices, and basic job budgets for event strikes, deliveries, and van rentals
  • Prepare and edit proposals, job briefs, and recap documents for clients
  • Coordinate freelancer availability and staffing confirmations; maintain up-to-date scheduling documents
  • Maintain and update digital filing systems, templates, and form libraries in Google Drive
  • Maintain vendor and venue contact lists; confirm logistics like unloading zones and return locations
  • Assist with van rental coordination: scheduling, agreement management etc.

Job Requirement:

  • Prior experience as an admin, office manager, or logistics coordinator preferred
  • High school diploma required; additional coursework or a degree in Business, Communications, or a related field is a plus
  • Proficient in Google Workspace (Docs, Sheets, Calendar); knowledge of Notion or other CRM systems a plus
  • Strong written and verbal communication skills
  • Ability to handle multiple priorities with accuracy and poise
  • A positive, can-do attitude and willingness to jump in where needed
  • Familiarity with floral industry, event logistics, or production coordination a plus (but not required)\

Period:

  • Fully remote role with flexible scheduling
  • Occasional availability on evenings or weekends may be needed, depending on strike timelines
  • Expected hours: 10 – 15 per week

Schedule:

  • 4 hour shift
  • Day shift
  • Weekends as needed

Pay:

$18.00 – $20.00 per hour
