Job Details:
- The Administrative Officer will provide day-to-day operational and administrative support to ensure smooth workflow across teams (Design, Social Media, Client Service, and Management).
- The role requires strong organizational skills, excellent communication, attention to detail, and the ability to work efficiently in a fast-paced remote digital agency.
Responsibilities
- Manage agency calendars, team schedules, newsletters, web artuclesand internal reminders for deadlines, client deliverables, and meetings.
- Organize and document files, briefs, reports, and client records using cloud tools (Google Drive, etc.).
- Monitor project workflows and ensure tasks are completed on time by following up with team members.
- Prepare weekly and monthly reports for management (task tracker, productivity, project status).
- Schedule and coordinate virtual meetings, presentations, and brainstorming sessions.
- Take minutes during internal/client meetings and share action points with responsible team members.
- Maintain communication flow between departments (Social Media, Graphics, etc).
- Assist with onboarding new clients and staff (welcome kits, NDA, contracts, onboarding forms, folder setup).
- Respond to basic client inquiries and escalate requests to relevant team members.
- Ensure client deliverables, revisions, and approvals are tracked and well documented.
- Track client subscriptions to notify them before expiration.

Job Requirement:
- Bachelor’s degree or relevant experience in Administration, Business, or related fields.
- 3+ years’ experience in administrative or operations roles (preferably in a tech or digital agency).
- Strong written and verbal communication skills.
- Proficient in digital productivity tools (Google Workspace, Notion, Trello/Asana, Slack).
- Excellent multitasking, documentation, organization, and follow-up skills.
- Ability to work with minimal supervision and meet deadlines.
- Professional, proactive, and detail-oriented.
